Introduction
Taxually cannot support Streamlined Sales Tax (SST) registrations directly. To begin filing with Taxually, you must transfer your existing SST registrations to standard state-level registrations.
This process involves ending your Certified Service Provider (CSP) relationship and closing your SST account while maintaining active state registrations. Following this guide carefully will prevent compliance disruptions and avoid unnecessary re-registrations.
State-by-State Overview
The following table provides an overview of the transition workflow for each state and their account ID formats.
Note: For states requiring re-registration, the state ID may not be assigned until the new registration is complete.
Step-by-Step Transition Process
1. Plan Your Cancellation Date
Critical: Choose your CSP cancellation date carefully to ensure continuous compliance.
Quarterly Filing Requirements:
Ideally, your CSP should complete all filings for the full quarter before cancelling (for the smoothest transition)
Request cancellation only after the quarter ends (if possible)
Recommended Cancellation Windows:
Q1 (January-March): April 26-30
Q2 (April-June): July 26-31
Q3 (July-September): October 26-31
Q4 (October-December): January 26-31
Onboarding Timeline: Transitioning SST registration to Taxually typically takes 2 weeks to 3 months, depending on:
Number of states involved
State portal account creation requirements
Third-party access approval times
Re-registration requirements
⚠️ Important: Begin the onboarding process with Taxually before your CSP cancellation date to prevent missed filings.
Please inform Taxually of your planned CSP cancellation date as soon as possible.
2. Gather State Account Information
Collect your state sales tax account numbers (IDs) from your SST account. These are essential for setting up state portal logins.
Where to Find Account IDs:
Located in your SST Account (unique to your SST Account number format: S00123456)
If you don't have SST account access:
Request them from your current CSP
Contact SST support directly
Inform Taxually of any missing numbers for assistance
Share all state account numbers and related details with Taxually to ensure smooth transfer of filing responsibilities.
3. Create State Portal Accounts
Start this step immediately - it can take significant time and should begin before CSP cancellation.
For each state where you're registered:
Check for existing business logins before creating new accounts
Determine if your business already files other tax types (Income Tax, Withholding Tax, etc.) in this state through another department
If yes: Use the existing login credentials to ensure proper administrative rights for granting Taxually third-party access later
If you're struggling to obtain access to an existing business login: Contact Taxually and we will provide guidance on how to obtain access to the original login
If no other tax types are registered: Create a new online account in the state's filing portal
Link your Sales tax-related account to the portal
Verify whether your sales & use tax (SUT) account is open or closed
Report any closed account statuses to Taxually
If any accounts are closed: Taxually will assist with re-registration. Note that historical SST returns may not be available after re-registration (varies by state).
4. Grant Taxually Third-Party Access
Once your state portal accounts are active and you have access to your tax accounts:
Complete all requests in the "Jurisdiction Information" section in Taxually's system
This enables Taxually to obtain third-party access to your tax accounts for filing purposes
5. Cancel CSP Service
Only proceed with cancellation after Steps 2-4 are underway or complete.
Critical Instructions for Your CSP: Request that they specifically: "End CSP service and cancel SST registrations, BUT keep state registrations active"
⚠️ Warning: Communicating the wrong cancellation option can force unnecessary re-registrations in multiple states, causing significant delays and complications.
6. Obtain SST Portal Login Details
After your CSP service ends:
Request SST portal login credentials from your former CSP
If credentials aren't provided:
Reset the password directly in the SST portal, or
Ask Taxually to request a reset email from SST support on your behalf
Note: While CSP service is active, you can only update business location and contact details in the SST portal.
7. Complete Required Re-Registrations
Some states require re-registration when transitioning from SST to standard state accounts. Refer to the state requirements table above to identify which of your registered states require this step.
Additional Considerations:
If your CSP doesn't properly close accounts, additional re-registrations may be necessary
Identifying re-registration needs early helps prevent compliance delays
